Broadcasting to Volunteers

Send mass messages to all your volunteers at once for quick coordination and updates

What is Broadcasting?

Broadcasting lets you send a single message that reaches all volunteers for a specific campaign simultaneously. Instead of messaging each person individually, you write once and everyone receives it in their inbox.

Think of it like a group text — everyone gets the same message at the same time, but replies are private (1-on-1 with you).

Accessing the Broadcast Tool

Go to Volunteer Hub

Navigate to /profile/volunteers

Select a Campaign

Choose the campaign whose volunteers you want to message

Click "Coordination" Tab

Find the broadcast messaging section in the Coordination tab

Compose Your Message

Write your message in the text area and click "Send Broadcast"

Who Receives Broadcasts?

Broadcasts are sent to:

  • Approved volunteers — Those you've approved for the campaign
  • Active volunteers — Those currently working with your team

Not included: Pending applications (they haven't been approved yet) and completed/removed volunteers.

Sending a Broadcast

  1. 1. Write your message

    Type in the broadcast text area. Be clear and include all relevant details.

  2. 2. Review recipient count

    The system shows how many volunteers will receive your message.

  3. 3. Click "Send Broadcast"

    Message is sent to all eligible volunteers instantly.

  4. 4. Confirmation

    You'll see a success notification with the number of messages sent.

When to Use Broadcasts

Schedule Changes

"Reminder: Tomorrow's packing session starts at 8 AM instead of 9 AM. Please arrive at the warehouse by 7:45 AM."

Urgent Needs

"We need 5 more volunteers for distribution this Saturday. If you're available from 10 AM - 2 PM, please reply to this message!"

Thank You Messages

"Thank you all for your incredible work today! We distributed 500 food packs to 3 barangays. You made this possible! 🙏"

Event Announcements

"New shift available: Monday 2-6 PM warehouse sorting. First 10 volunteers to reply get the slot. Who's in?"

Handling Replies

When volunteers reply to your broadcast, their responses come to your regular inbox as 1-on-1 messages. This keeps coordination private and organized.

  • ✓ Each reply creates or continues a private DM thread
  • ✓ Check your Messages inbox for responses
  • ✓ Respond individually to coordinate specific details
  • ✓ Unread message badge shows you have new replies

Broadcast Tips

Be Specific

Include dates, times, locations, and exactly what you need. Vague messages lead to confusion.

Time It Right

Send broadcasts during reasonable hours. Avoid late night or very early morning messages.

Use Sparingly

Don't over-broadcast. Save mass messages for important updates to avoid fatigue.

Call to Action

If you need responses, clearly ask: "Reply YES if you can make it" or "Let me know your availability."

Best Practices

  • Keep messages concise but complete
  • Include your phone number for urgent day-of coordination
  • Use emojis sparingly to add warmth 🙏
  • Thank volunteers frequently for their service
  • Share impact updates: "We served 200 families today!"
  • Avoid sending multiple broadcasts in one day
