Managing Inventory

Track received donations and update inventory levels

Accessing Inventory

Your inventory management system shows all donations received for your campaign. Access it through your campaign dashboard.

  1. Go to your Campaign Dashboard
  2. Select the campaign
  3. Click “Manage Inventory” or “View Donations”

Inventory Overview

Your inventory page shows:

All Campaign Needs

List of all items your campaign needs with target quantities

Received vs Target

How much has been received compared to the target for each item

Individual Donations

Detailed list of each donation with donor name (unless anonymous), quantity, and date

Progress Indicators

Visual progress bars showing completion percentage

Recording New Donations

When you physically receive a donation at your drop-off location:

  1. 1. Verify the Items

    Check that items match what was pledged

  2. 2. Click “Record Donation”

    Find the button in your inventory management page

  3. 3. Select the Item

    Choose which campaign need this donation fulfills

  4. 4. Enter Quantity

    Record exactly how much was received

  5. 5. Link to Donor (Optional)

    Associate with the donor's pledge if available

  6. 6. Save the Record

    Inventory automatically updates

Handling Discrepancies

Donor Pledged More Than Delivered

Record only the actual amount received. You can add a note explaining the difference.

Example: Donor pledged 10 boxes but delivered 8 boxes

Donor Delivered More Than Pledged

Great! Record the full amount received. This counts toward your goal.

Example: Donor pledged 5 sacks but delivered 7 sacks

Donation Without Prior Pledge

You can still record it! Just mark it as a walk-in donation.

Example: Someone drops off items without using the website

Inventory Reports

Generate inventory reports to:

  • • Track total donations over time
  • • Identify top contributors
  • • Monitor which items are being donated most
  • • Share progress with stakeholders
  • • Maintain records for accountability

Best Practices

  • Update inventory within 24 hours of receiving items
  • Double-check quantities before recording
  • Thank donors when recording their contributions
  • Take photos of received donations for updates
  • Maintain notes about item quality or condition
